BUILDING USE AGREEMENT FOR LANGLEY PRESBYTERIAN CHURCH

Langley Presbyterian Church (LPC) makes its facilities available for rent to its Members, Adherents, and the wider community, subject to acceptance of this agreement. By signing this agreement, users fully accept all risks and liabilities associated with their use of LPC’s facilities and indicate that they understand and will fully comply with the terms as stated.

The final decision concerning any rental contract will be determined by LPC’s governing body, its Session.

GENERAL TERMS OF USE

Name of User: _______________________________________________

It is agreed by both LPC and the user that:

  • If LPC requires use of the facilities at a time that conflicts with the user’s booking, then with due notice, the user may be required to reschedule (e.g., a funeral).
  • The user is responsible for clean-up at the end of each day’s activities. Areas must be returned to the condition in which they were found (e.g., tables or chairs up or down as originally arranged, dishes washed, kitchen left clean, room dividers returned, chalkboard cleaned).
  • LPC will not be responsible for personal, or group possessions or equipment left in the building.
  • Any damage to the church building or equipment caused by the user must be repaired by the user or reimbursed to LPC for repair expenses.
  • Users acknowledge they are using LPC’s facilities at their own risk and that LPC will not be responsible for any injury or damage suffered, regardless of the cause.
  • Users must provide a Certificate of Insurance adding Langley Presbyterian Church as an Additional Insured, preferably with liability insurance of $2,000,000 to mirror LPC’s insurance.
Users operating a business in the facility must also provide a WorkSafeBC clearance letter or proof of insurance covering injuries to employees.
  • Users must provide their own supplies and equipment or may borrow from LPC only with permission.
  • All users must be familiar with and abide by The Presbyterian Church in Canada's policies on:
    • Sexual Abuse and Harassment (2021 Policy and Procedures for Addressing Harassment in the Church)
    • Leading with Care
The group leader will read the policies, sign to indicate agreement, and inform participants of their responsibilities.
  • Users must abide by legal fire and safety regulations (see fire exit plans posted near exits).
  • The maximum permitted occupancy for Langley Presbyterian Church facilities is 360 persons at any one time on church property. Users are responsible for ensuring that the total number of people attending their event does not exceed this limit and that all fire and safety regulations are followed.
  • Users must follow building closure procedures, including setting the alarm. Where practical, the key is to be returned at the end of the rental period.
  • There will be absolutely no smoking, illegal drugs, gambling, or liquor in the building or within 10 feet of the building. No food or beverage (except bottled water) is allowed in the Sanctuary. Users must ensure compliance.
  • LPC reserves the right to cancel the Building Use Agreement with 48 hours’ notice if privileges are abused.
